Per our Restatement of the By-Laws (2002) - Article VII SECTION 2 states in part:

 "Duties. It shall be the duty of the Board of Directors to:

A. cause to be kept a complete record of all its acts and corporate affairs and to present a statement thereof to the members at the annual meeting of the members, or at any special meeting when such statement is requested in writing by one-fourth (1/4) of all the members who are entitled to vote;
B. supervise all officers, agents and employees of this Association, and to see that their duties are properly performed;"

AND

Per our Restatement of the By-Laws (2002) - Article X BOOKS AND RECORDS state in full (page 8):

"The books, records and papers of the Association shall at all times, during reasonable business hours, be subject to inspection by any member. The Declaration, the Articles of Incorporation and the By-Laws of the Association shall be available for inspection by any member at the principal office of the Association, where copies may be purchased at reasonable cost."

AND

Section 720.303 of the Florida Statutes state in part:

"(4)OFFICIAL RECORDS.—The association shall maintain each of the following items, when applicable, which constitute the official records of the association:

(a)Copies of any plans, specifications, permits, and warranties related to improvements constructed on the common areas or other property that the association is obligated to maintain, repair, or replace.
(b)A copy of the bylaws of the association and of each amendment to the bylaws.
(c)A copy of the articles of incorporation of the association and of each amendment thereto.
(d)A copy of the declaration of covenants and a copy of each amendment thereto.
(e)A copy of the current rules of the homeowners’ association.
(f)The minutes of all meetings of the board of directors and of the members, which minutes must be retained for at least 7 years.
(g)A current roster of all members and their mailing addresses and parcel identifications. The association shall also maintain the electronic mailing addresses and the numbers designated by members for receiving notice sent by electronic transmission of those members consenting to receive notice by electronic transmission. The electronic mailing addresses and numbers provided by unit owners to receive notice by electronic transmission shall be removed from association records when consent to receive notice by electronic transmission is revoked."
 
Our property management company, Advanced Property Management (APM), has assured us they will provide document management that meets or excceds the requirement of our governing documents & Florida Statutes Section 720 Homeowners' Associations. 
 
APM has further provided commitment to offer value for our association. They will provide, beginning on May 1, 2016, all past records in digital form on their website for retrevial, at no additional cost to our members. However, some records such as legal documents and documents containing sensitive material are highly confidential and can only be made available to the Six Mile Creek Board of Directors.
